Terms and Conditions

Smiles and Miles Travel wants you to have a flawless travel experience. In view of current travel realities, however, it's important to understand the requirements for airlines, tour operators, and vendors of excursions, in-country travel, insurance and other travel products.
Please be sure to carefully review our Terms and Conditions as described below, and call (508-238-4088) or email us with any questions. Enjoy your trip!

Deposit - A per person deposit is required at the time of booking for all travel arrangements.  The amount of the deposit at the time of booking will vary by vacation or cruise vendor.  Certain deposits are nonrefundable.  Refundable deposits will be honored only if the reservation is cancelled in writing and the written cancellation request is received within 90 days from the vacation or cruise date, and are subject to vendor and airline penalties.  Insurance premiums and certain vendor fees are not refundable. 

Final Payment - Full payment is specified by the individual vendor and due on the date specified.  All vacation and cruise prices that include airfare are subject to change until paid in full.

Forms of Payment - All major credit cards are accepted unless otherwise noted.  Certain travel vendors may accept only specifically stated credit cards.  We will let you know which credit cards are accepted by each travel vendor.

Prices - Prices for travel cannot be guaranteed until reservations are confirmed along with payment of applicable deposit for your trip.  Airfare prices, availability, times and flights are not guaranteed until paid in full and may change without notice.  All prices are subject to change without notice and may be subject to limited availability.  The exact price depends upon the day of departure, departure city, length of stay, ship, hotel room or cabin type and other inclusions including (but not limited to) airfare, transfers, rental cars, taxes or administrative fees.  Prices and offers are valid for new bookings only.

Exclusions - Unless indicated, prices do not include airfare, gratuities, meals, telephone calls, applicable resort service fees, personal or incidental items, or any other features not listed except where otherwise noted.  Cruise prices do not include transfers, taxes or administrative fees.

Late Bookings - Bookings made within three weeks of departure are subject to a $25 document processing fee.  A $50 additional handling fee will be charged for bookings that need to be confirmed within three business days of departure.

Revisions and Cancellations - If your reservation needs to be changed or cancelled, or any information provided as part of the reservation, please contact Smiles and Miles Travel as soon as possible.  Cancellations made after the final payment date required by the supplier/vendor (from 90 days to 45 days prior to departure, depending upon the supplier/vendor) to the date of departure will result in a $60 per person fee from Smiles and Miles Travel.  Airfare and vendor penalties will be in addition to this $60 per person cancellation fee.  A $25 per booking fee applies to all changes and cancellations made after the supplier/vendor stated final payment date.  Other restrictions may apply.  Revision, cancellation and refund policies vary by travel vendor.  All refunds are subject to vendor cancel frees up to 100% of the cost of the trip.  In all instances, no-shows are nonrefundable.  Travel insurance may be purchased at the time of booking, or before final payment, which may cover cancellations for covered reasons as outlined by the travel insurance vendor.

Refunds - Refund restrictions and policies for unused travel or vacation components vary by airline, by vendor, by season and according to promotional rules and are subject to applicable rules of each vendor.  Insurance premiums, airfare and some vendor fees are not refundable.  Unused travel or vacation components may be refundable under certain circumstances when prior notification or cancellation is given and if all other applicable terms and conditions are met.  Other restrictions may apply.  All refunds are subject to return of unused travel vouchers, although unused vouchers may not be refundable.  Please ask about refunds at the time of booking.

Documents - Travel documents are sent via UPS, DHL or FedEx when received by Smiles and Miles Travel.  For late bookings, or if expedited delivery of documents is necessary, a $15 document shipping fee will apply.  Smiles and Miles Travel checks all documents for accuracy.  Please check your documents to confirm accuracy of all information.  Call Smiles and Miles Travel immediately at 1-508-238-4088 if there are any discrepancies or if you have questions.  Tickets and vouchers are negotiable instruments.  Lost, stolen, or destroyed tickets or vouchers cannot be replaced or refunded.

Airline Confirmation, Check-in and Seats, Missed Flights - It is important to confirm all flights with the airline prior to departure.  For domestic flights, 24 hours is recommended.  For international flights, 72 hours is mandatory.  Failure to confirm international flights or to use any portion of the reservation may result in automatic cancellation for all continuing and return flights.  Please verify specific guidelines with your airline when confirming your flights; guidelines change by airline, airport, flight and security restrictions.  If you are late, your assigned seat may be sold or you could be denied boarding at your own expense.  If you miss your flight and call Smiles and Miles Travel to arrange another flight to your destination a $75 service fee will apply and must be payable by credit card at the moment of the service.  You will also be subject to any airline penalties that apply for the rebooking and any cost difference of the new flight.  If you miss your flight and call Smiles and Miles Travel to rearrange the land components of your scheduled vacation a $75 service fee will apply and must be payable by credit card at the moment of the service.  In all cases, unless additional time is required by the airline, it is important to arrive at the airport at least two hours prior to departure for all domestic flights and three hours prior to departure for international flights.  Choice of seat assignments may be limited at the time of reservations are requested and at times not assignable until check-in.  Seat assignments are capacity controlled at the sole discretion of the airline and are subject to change by the airline without notice.  Smiles and Miles Travel cannot guarantee seat assignments.

Proof of Identity - Photo ID is required for all travel, both domestic and international.  Passports are required for international travel and some countries require a visa.  You will not be permitted to depart without the necessary documentation.  There may be additional requirements for international travel such as inoculations or visas.  Please check with the U.S. Department of State (http://travel.state.gov) for more information related to your travel destination.  Special travel documents are required for children traveling with or without their parents.  If you are traveling with children, please check with the cruise line or airline prior to departure.  If you are not a citizen, you must contact the consulate of the country you are visiting to inquire about visa requirements.  You must also contact the Department of State, Immigration(1-800-375-5283, for reentry requirements into the United States.

Requests - Specific requests must be made at the time of booking and are subject to availability at the time of check-in.  Seating assignments and bedding requests cannot be guaranteed.  At some hotels, there will be an additional charge for a crib, rollaway or refrigerator and is payable by the guest directly to the hotel.

Rental Cars - All rental cars are subject to the rules and regulations of the car rental company.  Car rentals are based on a 24-hour rental period.  Late returns and returns to alternate locations are subject to charges and penalties paid by the renter directly to the rental company. *

Disclaimer of Liability - As of this date and on any and all Smiles and Miles Travel websites, all prices are thought to be accurate, available and current.  The information, products and services on any and all of Smiles and Miles Travel websites may include inaccuracies or typographical errors.  Smiles and Miles Travel does not guarantee the accuracy of, and disclaims liability for inaccuracies, including but not limited to the price, information and description of the products and services described on any and all of Smiles and Miles Travel websites.  Smiles and Miles Travel is not liable for the acts, errors, omissions, representations, warranties, breaches or negligence of any vendor or personal injuries, death, property damage or other damages or expenses resulting from causes outside of Smiles and Miles Travel control.  Smiles and Miles Travel shall not be responsible for travel delays or cancellations for any illness, death, injury, damage or loss of vacation time arising there from.  Changes to cruise ports of call or itineraries due to mechanical, weather, or world events beyond our control are at the sole discretion of the cruise line and may occur without notice.  Any applicable compensation resulting from such occurrences is also at the sole discretion of the cruise line.  Smiles and Miles Travelshall not be liable for any injuries, damages, or losses caused by the traveler in connection with, or by vendor employees or contactors, terrorist activities, social or labor unrest, mechanical or construction failures, or difficulties, diseases, local laws, climatic conditions, criminal acts or abnormal conditions or developments, or any other actions, omissions, or conditions outside of the control of Smiles and Miles Travel.  The Traveler assumes the complete and full responsibility for checking and verifying any and all passport, visa, inoculations, or other entry requirements for each destination, as well as reentry into the , and all safety or security conditions at such destinations, in connection with the proposed travel.  For information concerning possible dangers at international destinations, contact the Travel Advisory Section of the U.S. Department of State (http://travel.state.gov).

This privacy policy also discloses how we collect, protect, use and share information gathered about you on our website. Always be sure to read the supplier booking and cancellation policies. If you book a vacation, either online or by calling, you need to be aware that various cancellation penalties are imposed by airlines, vacation companies and us.

Each supplier has policies that you need to access on their websites. This may include minors, pregnancies, seniors, etc. Please check out the properties before booking. Smiles and Miles Travel is not responsible for accidents, delays, supplier errors, terrorist or criminal acts, quality of transportation, lodgings or tours and omissions of any kind. By booking online or calling us to book, you agree that you checked out the cancellation policies and you've checked out the properties and the package and you take full responsibility for its suitability to your budget and/or taste. All disputes will be settled in the state of California.
